Higher Education Contract
Higher Education: our contract with you
Becoming a student of the School, or any other higher education institution, is the culmination of a series of contractual points, at enquiry, at application, at offer and acceptance, and at enrolment/reenrolment. Throughout this process the School is committed to the protection of your consumer rights and the information below is intended as a guide to help you understand your rights and responsibilities.
From enquiry to graduation, we will process your data in accordance with the General Data Protection Regulation and you will be notified at the data collection point of the relevant privacy notice.
We ensure that our literature (website and prospectus) is kept up to date. Information about a programme or a module may have changed by the time you apply and it is important that you recheck our literature if there has been a significant gap between your application and when you first looked at the programme detail.
Information relevant to the application process is updated at the beginning of each application cycle in July. Information for enrolling students is reviewed for each academic year and will be published when confirmed.
When applications open for a given year of entry, the tuition fees for that year will be published on the Fees & Funding page.
This document will also provide guidance on how tuition fees may increase over the lifetime of a programme of study.
When applications open for a given year of entry, the most current programme and module specifications will be available on our website on the individual programme pages.
Aspects of the programme and module may change between application and enrolment and/or during the period of your study (which may be up to four years).
However, any programme or module changes will be to enhance the programme offer; please see our Student Protection Plan for more details (this was approved by the Office for Students in April 2019, there are no changes).
The School has its own application system. Once you have completed your application and have paid the necessary application fee we will immediately start processing your application. Therefore, there can be no refund of an application fee if you then decide to withdraw your application or if you do not attend your audition or interview. Where you provide notice that you are unable to attend an audition or interview we will do our utmost to reschedule but it will not always be possible.
By submitting an application you are agreeing that the information you provide is correct. The School reserves the right to revise any decision made on the basis of this information should the information subsequently be found to be incorrect.
All applicants have the right to complain if they feel their application has not been treated in accordance to the School’s policies and procedures, or if the applicant has experienced poor customer service.
Complaints must be received within three months of the incident taking place and will be investigated by a senior member of staff.
For more information please see the Admissions Complaints Procedure.
Your formal offer letter will set out the conditions of your offer (qualifications, English Language, tests etc). You will also receive the Offer Handbook which is produced for each cycle of entry. It explains the offer process and what accepting an offer means, deliberately highlighting the “small print”, covering such matters as “right to cancel”, tuition fee deposits (where applicable) and the availability of elective modules. It details what information will become available to you and when.
If you accept our offer you are accepting the conditions of the offer made for a specified programme/pathway. On accepting the offer you are asked to confirm that you have read the Offer Handbook, and agree to notify the School if you subsequently want to turn down the offer.
Students who accept an offer in the normal time-scale (ie before 1 July) will have a 14 day “right to cancel” period before the non-refundable tuition fee deposit (where applicable) becomes due on 15 July.
The School is required to assess the fee status of all new students. The School requires all new students to complete the Fee Assessment Form to determine whether they pay ‘home’ or ‘overseas’ fees.
More information about the fee assessment can be found on the School’s website.
Some students enrolling onto a new programme of study will be required to pay a tuition fee deposit of 15% of the total fees due by 15 July of the year of entry to secure their place on the programme.
The School reserves the right to withdraw an offer of the place if the deposit is not paid on time, and the deposit is non-refundable if the applicant withdraws or subsequently does not meet the conditions of their offer.
For more information please see the Tuition Fee, Enrolment and Debt Collection Policy on our Policies page (see the section HE Fees and Funding).
During August you will be asked to start the enrolment process. You will be prompted to complete various tasks on eGo, completing online enrolment by signing the Enrolment Terms and Conditions for the academic year about to commence. A pdf of the signed terms will be stored on your eGo account.
By signing the Enrolment Terms and Conditions you are agreeing to abide by the School's regulations and policies.
By enrolment you will have had the opportunity to look at the programme and module specifications for that academic year. This is the School’s commitment to you about the educational services it will provide, including the minimum contact hours by type and the assessments that will count towards your module result and your end of year mark and/or your qualification.
Full enrolment
In September all new students must attend enrolment in person with a member of Registry. To be fully enrolled a student must;
- have completed all the required elements of online enrolment
- shown official ID
- have fulfilled all the conditions of their offer, and have provided copies of original certificates
- paid the first instalment of the tuition fees.
If a student is unable to complete enrolment of the first day of the academic year, but is able to show official ID, they will be given until the end of the second week to complete all other requirements.
Students are expected to work with staff to resolve any outstanding issues.
For more information please see the Tuition Fee, Enrolment and Debt Collection Policy on our Policies page.
An overseas student (a student who is not a UK national) must maintain an immigration status that entitles them to undertake the programme of study. You will be required to demonstrate your immigration status during the enrolment process and must inform the School if your immigration status changes. The School will need to see evidence when your status change becomes official.
Students who require a Student visa will be advised and supported with making their Student visa application.
When a new Student visa student enrols at the School they are encouraged to attend induction events to inform them of their responsibilities. During their course visa students must meet the requirement for suitable academic engagement. Please see our regulation for Admissions, enrolment and registration on our Policies page (see the section HE Academic Matters and Student Complaints). Please note the School is required to report any breach of the visa regulations.
All students are required to reenrol at the beginning of each academic year. This process involves signing up to the School’s Enrolment Terms and Conditions for the academic year about to commence and paying tuition fees (where applicable) and resolving any outstanding debts to the School. Students are not normally able to progress onto the next year of study until the previous year has been completed. It is expected that all students complete enrolment by the deadline to enrol.
For more information please see the regulations for Admission, enrolment and registration on our Policies page (see the section HE Academic Matters and Student Complaints).
Students are invited to apply for a Guildhall School scholarship each academic year. A scholarship may contribute towards the cost of tuition fees or maintenance costs.
Students can only apply for a scholarship once an offer of a place at the School has been accepted. Students who are offered a scholarship have to sign the Financial Awards Terms & Conditions.
For more information please see the Financial Awards Terms & Conditions on our Policies page.
